1. Parties
This agreement is between [Your Name], trading as [Business Name] (the "Cleaner"), and:
Client name: [Client Name]
Client address (the "Property"): [Client Address]
This agreement supplements the Cleaning Service Agreement between the parties and takes effect from the date signed below.
2. Keys and Access Items Entrusted
The Client agrees to entrust the following items to the Cleaner for the purpose of accessing the Property on agreed cleaning visit days:
- Number of keys provided: [1 / 2 / other]
- Type of key(s): [front door / back door / describe]
- Alarm code: [Yes — provided separately in writing / No alarm]
- Other access information: [Keysafe location, gate code, intercom instructions — or "None"]
The Cleaner acknowledges receipt of the items listed above by signing this agreement.
3. Cleaner's Obligations
The Cleaner agrees to the following obligations with respect to the keys and access items received:
- Secure storage: Keys will be stored securely at the Cleaner's home address in a locked box or drawer. Keys will not be left accessible to third parties, left in the Cleaner's vehicle, or stored in an unsecured location.
- No copying: The Cleaner will not copy, duplicate, or arrange for the duplication of any key without the Client's prior written consent.
- Exclusive use: Keys will only be used to access the Property on agreed cleaning visit days for the purposes of carrying out the cleaning services described in the Cleaning Service Agreement.
- No access outside agreed visits: The Cleaner will not enter the Property at any time other than during agreed cleaning visits, except in a genuine emergency and only after attempting to contact the Client.
- Alarm codes: Alarm codes will be recorded separately from keys and will not be stored on the Cleaner's phone or digital devices. They are held in a physically secured record only.
- Identification: Keys will be labelled with a reference code only — not the Client's name or address — so that if lost, they cannot be used to locate or identify the Property.
4. CCTV and Recording Devices
The Client confirms that the Property [does / does not] have CCTV or recording devices installed. Where such devices exist, the Client confirms the Cleaner has been informed of their presence and location. The Cleaner acknowledges that interior recording devices may capture them during cleaning visits and consents to this where it is for security purposes only and recordings are not shared publicly.
5. Loss or Theft of Keys
In the event that keys are lost or stolen while in the Cleaner's possession, the Cleaner must notify the Client immediately by telephone and confirm in writing within 24 hours.
The Cleaner accepts liability for the reasonable and evidenced cost of:
- Replacement key cutting (up to [£XX] per key); and
- Lock replacement, where the lost key was labelled or can be traced to the Property and there is a genuine security risk — up to a maximum of [£XXX].
The Cleaner is not liable for the cost of lock replacement where: the key was lost without any labelling or identifying information, there is no credible risk that the key can be linked to the Property, or the Client has chosen to replace locks as a precautionary measure beyond what is reasonably required by the risk.
6. Return of Keys on Termination
On termination of the Cleaning Service Agreement for any reason, the Cleaner will return all keys and access items to the Client within 7 days. If the Cleaner cannot return keys in person, they will be sent by recorded post or left in a secure location agreed with the Client.
On return of keys, the Cleaner will destroy all written records of alarm codes and access information.
All outstanding fees must be settled before termination is complete, but the Cleaner's obligation to return keys is not dependent on payment.
7. Changes to Access Arrangements
Either party may request a change to the access arrangements (e.g. new keys, changed alarm code) at any time by giving reasonable notice. The Client must inform the Cleaner of any change to alarm codes or lock changes at least 48 hours before the next scheduled visit.
8. Governing Law
This agreement is governed by the law of England and Wales.
