Clean-out sign off sheet: a handover record for one-off cleans
A clean-out sign off sheet is a room-by-room handover record, signed by the tenant, landlord or agent who booked the clean, showing the condition of the property when you finished. No UK law prescribes one, but it gives you dated evidence of what you did, and photographs attached to it help if the result is queried later.
What a clean-out sign off covers
A clean-out is a one-off clean at the end of a tenancy, after a house clearance or between lets. Unlike a regular visit, nobody will see the property again before it is handed over, so the finished condition is the only thing that matters.
The sign off sheet records that condition room by room, at the point you hand the property back. Our free sheet is separate from the end of tenancy terms in the paid pack: it is the handover record, not the contract.
Who should sign it
The person who booked the clean should sign: the tenant, the landlord or the letting agent. If the property is empty and nobody can attend, write 'handed over without sign off', add the time, and send the completed sheet and photographs by email the same day.
Make sure whoever signs knows they are signing for the clean you carried out, not accepting the property for any other purpose. Keep the declaration limited to your work.
Rooms, photographs and condition notes
Work through the property room by room, ticking each task and noting anything you could not fully remove, such as limescale damage, burn marks or permanent staining. Describing it on the sheet shows you saw it and that it was not caused by your cleaning.
Take dated photographs of each room when you finish, and of any existing damage you notice before you begin. Photograph the work and the property, not people or personal papers, and agree with the client that you will take them.
Do not promise a deposit outcome
Tenants sometimes book an end of tenancy clean hoping to protect their deposit. Be careful what you say. Whether a deposit is returned is decided between the landlord or agent and the tenant, and if they disagree GOV.UK says the tenancy deposit protection scheme offers a free dispute resolution service.
Describe what you will clean and the standard you work to, and avoid promising any deposit result. Deposit rules differ between England, Scotland and Northern Ireland, so point clients to the rules that apply where they live.
Agree a snagging window
Decide before you start how long the client has to report a missed area, for example 48 hours, and put that on the sheet. It keeps the arrangement fair to you and clear to them.
The Consumer Rights Act 2015 includes a right to repeat performance. Where a consumer asks for it, the trader must perform the service again to complete it in line with the contract, within a reasonable time and without significant inconvenience. A stated snagging window shows you take that seriously, and the Act applies to consumers, not to every business client.

Frequently asked questions
Is a clean-out sign off sheet a legal requirement?
No law requires one. It is good practice because it gives you a dated record of what you cleaned and the condition you handed the property over in.
Can I promise that my clean will get the tenant their deposit back?
No. Deposit decisions are made between the landlord or agent and the tenant, with a free dispute service available through the tenancy deposit scheme if they disagree. Describe your work, not the outcome.
What if nobody is there to sign at the end?
Write 'handed over without sign off', add the time, take photographs of each room and email the completed sheet and photos to the person who booked the clean the same day.
How long should I give clients to report a missed area?
There is no set period. Many cleaners allow a short window such as 48 hours and state it on the sheet and in their terms. Pick one that is fair, tell the client before you start and stick to it.
